Find a needle in a haystack – or how to make visits of trade shows successful?

 

Do you remember your last visit at a large trade show?
Was it not very difficult to find the right information about new products services etc.
Are you sure that you have seen all vendors with a comparable product?
Many of us have had already the feeling that such a day at trade show was not so efficient as we have expected that in advance.
However, there are new possibilities around.

Nowadays, many exhibitions offer web-based directories where you can do some online searches in advance to find the right exhibitors and products. These catalogues give the exhibitors an additional platform to communicate the presented products. Some of the directories act as an extended virtual exhibition over the year.
However, this is one-way communication without interaction, e.g. feedback from a reader of the web-page. There must be other ways to enable and stimulate the
interaction between exhibitors and visitors before the event. With this motivation, we implemented an One2One meeting-matching platform.
Since Eveni provides services such as registration of exhibitors, visitors and participants, all information needed to bring together visitors and exhibitors is already available in the system.
Every visitor of a fair or participant of a seminar may look for experts and companies of his special interests. The built-in search engine allows them to find the right contacts with the right expertise. Exhibitors can enter various information into the database such as product and technologies presented, and expertise of the staff available at the booth.
Once a visitor identified persons (experts) or companies he likes to meet, he can arrange personal meetings. He can propose up to three meeting dates each with different priority. The exhibitor and the experts receive the meeting requests and either accept or reject the proposal, or forward it to yet another expert. Along with the request, the visitor may also provide some additional information like specific questions he would like to discuss. With the confirmation of the meeting, the expert now in turn may add additional information as feedback to the visitor.
Each visitor as wells as experts get a personal agenda with seminars booked and the arranged One2One meetings.
Visitors arrange in advance targeted and focused meetings with exhibitors. No endless wandering around searching for the right knowledgeable contact and thus, reducing dramatically the time required for gathering the desired information and the visits of trade shows become very efficient.
The experts on the other hand can prepare the forthcoming meetings and arrange for the needed equipment, staff or other environment needed.
